Scheduling
To see when you can request your appointment, select the single test option on the page and it will take you to the calendar. We do our best to have the calendar you see reflect current availability, however sometimes our partners have other appointments or unavailable times that are not reflected.
You can be cancel or reschedule at least 24+ hours before your appointment. Appointments cancelled or rescheduled less than 24 hours before the scheduled date/time will incur a fee (amount depending upon location).
To cancel an appointment, send an email to support@fitnescity.com from your email on file, including the test type and appointment date. If you already know a preferred date for rescheduling, please include it in your email.
You've completed your first body composition assessment, well done!
Now you're wondering when you should get your next assessment scheduled in. It's very dependent on your goals, such as maintaining, gaining mass, or reducing mass. With that in mind, customers often choose to retest after 3, 4, 6, or 12 months. When you retest, your online dashboard will be updated to measure progress between assessments.
One location cannot always fulfill all of the tests we offer. In order to allow customers to take advantage of package prices, we allow packages which are at more than one location. We will indicate on the webpage when a test is conducted at a location other than the primary facility.
We're growing fast! Coming soon means that we aren't open yet but hope to be soon. Join the waitlist.
Once you purchase your package, you will receive a confirmation email which will include a link to schedule and your personal code. Don't see your email? Please check your spam!
Whether you purchased a package or want to schedule a standalone test, you will use the scheduling link to request a preferred date/time as well as 3 alternate date/times of availability. We do our best to accommodate your requested times, however if said times are not available, we will contact you to reschedule.
If your location closed and you already purchased an assessment, we would love to test you at an alternative location. Please check Our Map to find the next best location for you and let us know you would like to change by emailing support@fitnescity.com.
If you scheduled your follow-up call with the physician but never received your scheduled call, please let us know at support@fitnescity.com.
If you did a test with Fitnescity but never did a follow-up call, you can schedule a call via your dashboard. A 15-minute follow-up call with the physician is included in the purchase of every Fitnescity test.
When an appointment is rescheduled, it is usually to a time that you have entered into your Alternate Availability. This was done because the preferred, original appointment time was no longer available.
If your appointment was rescheduled to a time that was not listed in your Alternate Availability, it means that available appointment times are very limited and we wanted to get you a confirmed appointment time. If the new time does not work for your schedule, please let us know at support@fitnescity.com. We will usually contact you before rescheduling to a totally new time, so please check your email.
Completely missed your appointment? If we were not notified ahead of time that you would not be attending your appointment, you will be considered as a no-show and forfeit your appointment. A rescheduling fee will be applied.
If you would like to discuss further with our scheduling team, please contact support@fitnescity.com
Being sick is awful, and missing your test? That's the worst!
If you're under the weather, we do our best to reschedule your test for little or no fee. Give us as much notice as possible so that we can try to bypass rescheduling fees that are normally incurred.
Please note that in the scenario that a technician has been called in to perform your test and is not given enough notice for cancellation, oftentimes the technician still needs to be paid for the appointment, even if the test is not administered. The fee in your emails will be applied.
The physician will contact you on the number you provided when scheduling your call. Be aware that the call might come from a private or unknown number. If you miss the call, the physician will call again 5 minutes later.
If you miss your call entirely, you can contact us at support@fitnescity.com to reschedule your call. Please note that there is a $25 fee if you do not make your phone call, whether you reschedule or not.
We do our best to keep our calendars are us to date as possible, however the times shown do not always reflect the appointments available. If the time you requested is not available, we will either use your alternative availability to reschedule or reach out to your directly.
Please send an email to support@fitnescity.com with your email address on file and we will look into this right away.
Billing
Rest assured, if you received a bill in the mail it was sent in error. Contact us at support@fitnescity.com and we will ensure it is cancelled.
No problem! Send us an email to support@fitnescity.com and as long as the code is valid for your purchase, we'll refund the difference.
We require a 24 hour notice to reschedule the follow-up call free of charge. Late cancellations cause time slots to go unused, and longer wait times for other customers. If 24 hours notice is not given, there is a rescheduling fee of $25 incurred.
Testing
Fitnescity has a request-based account deletion process. If, at any time, you are no longer interested in having a Fitnescity account, you may delete your Fitnescity account by contacting us at support@fitnescity.com .
*Some machine models are capable of giving more readings than others*
DEXA: If the model of the DEXA scan is not capable of giving one of the expected readings (total fat mass, total non-fat mass, segmented fat mass, segmented non-fat mass, total bone mineral density, visceral fat reading), it should be noted on the relevant location's webpage.
Resting Metabolic Rate (RMR): While the primary purpose of and RMR test is to discover the resting metabolic rate, some metabolic carts are also capable of measuring respiratory quotient (RQ). If this measurement is an important factor for you, please let us know so that we can see if your nearest location provides this.
If you are under 18 and would like to get an assessment completed, please contact us at support@fitnescity.com. Some locations will test minors with parental consent, but it varies from location to location.
The DEXA will categorize loose skin as non-fat mass, along with muscles, organs, and blood. These measurement will not be added to the overall fat-mass.
We can make custom packages of any size. Reach out to us at support@fitnescity.com and let us know your location, the types of tests you're interested in and how many people would be getting tested.
The DEXA scan is not recommended while pregnant. The DEXA scan uses low doses radiation to measure body composition which should be avoided whilst pregnant.
Please check your Spam or Junk folder! The email will be from scheduling@fitnescity.com
If you have checked your Spam/Junk folder and still don't see your results, please send us an email to support@fitnescity.com.
The DEXA scan and BOD POD test are both body composition assessments that measure a person's total fat mass versus non-fat mass.
The DEXA will report fat mass versus non-fat mass, both in total and segmentally, as well as your total bone mineral density. Some DEXA scans also provide a Visceral Adipose Tissue (VAT) reading as well.
The BOD POD will report total fat mass and non-fat mass.
We know that you're eager to have access to your result dashboard - and we're eager for you to have it!
We process results as quickly as possible - you can expect to receive an email giving you access to your dashboard within 2 business days. If you have not, please check your spam folder.
In the case that you do not have access to your dashboard within 2 business days, please contact us at support@fitnescity.com.
Some states require a physician referral in order to get a DEXA scan for body composition. We know that going to the doctor can be time-consuming and expensive, so we are happy to handle this for you!
After checkout you will receive an email with the forms to complete. Then our staff physician will sing-off on your test.
It is important to follow the test protocol to ensure accuracy of your results. To read the test protocol for all tests, please head to fitnescity.com/test-protocols. You will also receive a copy of the test protocols in your reminder email 48 hours before your appointment.
The DEXA scan and BOD POD test are considered the most accurate means of measuring body composition, however results can still vary slightly from machine to machine, and from calibration to calibration. To best compare results when retesting:
Retest on the same machine at the same location
Mimic the circumstances each time you test, such as the time of day, clothing, etc.
Look for changes to your Percentile, rather than body fat percentage
While most of the DEXA scans in our network do provide a visceral adipose tissue (VAT) reading, some of the machines are incapable. For the DEXA scans in our networks that do not provide a VAT reading, we note this on bold. If the bold statement is absent, the machine does provide a VAT reading.
Unfortunately, many metabolic carts used to measure resting metabolic rate (RMR) are not capable of measuring respiratory quotient (RQ). We include that informational piece on the dashboard for the occasions where the machine does provide an RQ reading.
If you want to ensure that the machine used to measure your RMR can also provide a RQ reading, please contact us beforehand via support@fitnescity.com.
If you didn't follow the test protocol, unfortunately the results won't be as accurate as possible.
If you have not yet tested, you can request to move the appointment to a later date. Please note that this could incur a fee if it is done within the 24 hour appointment window.
If you already completed your test and have realized that you did not follow test protocol, please bear in mind that your results could have been effected.
Your results are absolutely private unless you give us express permission to share them. Email support@fitnescity.com with the name and email of whom you'd like to share your results with.
As we offer testing at over 300 locations, there are different versions of the machines which then have different height and weight limits. If you are concerned that you may be towards the capacity, please reach out to support@fitnescity.com and we can check your particular location.
The weight limit for most BOD POD tests is 550lbs and a height of 7’.
The weight limit for a DEXA is generally between 300-350lbs and a height of 6’4.
There is not a weight or height limit for the RMR test.
If you are concerned about your ability to complete a VO2 Max test, please review the pre-screening form and discuss with your doctor as needed.
Neither Fitnescity nor the Physician who conducts the follow-up call can provide diet or fitness advice. The Fitnescity dashboard will clarify make results more understandable and actionable.
If you are looking for a personalized plan, you can check out our trusted partner, Caliber.
The wrong number is reported
In the rare case that your weight, height, gender or birth were misreported, please email us at support@fitnescity.com so that the issue can be amended quickly.
My body fat percentage is wrong
If you are surprised by your total body fat percentage, no need to panic! Instead, please ensure you followed the test protocol.
If you followed the test protocol and still have questions about your results, schedule your follow-up call with the physician to go over your dashboard. It is not uncommon for people to be a little disappointed by their body fat percentage, however the physician can walk you through your results and answer questions about body fat, such as the differences between essential fat versus storage fat, the dangers of visceral fat, etc.
If you complete your follow-up call with the physician and are still concerned about the accuracy of your results, reach out to us at support@fitnescity.com and we will investigate.
My resting metabolic rate is wrong
If you are surprised by your RMR, please ensure you followed the test protocol.
If you followed the test protocol and still have questions about your results, schedule your follow-up call with the physician to go over your dashboard. There are personal history and environmental factors that could have impacted your RMR, and the physician can discuss what those could be.
If you complete your follow-up call with the physician and are still concerned about the accuracy of your results, reach out to us at support@fitnescity.com and we will investigate.
It is safe to do a DEXA scan, BOD POD test, SECA test, Hydrostatic Weighing test and Resting Metabolic Rate (RMR) with a pacemaker and/or implant. Please notify the test administrator before the test begins.
If you have a pacemaker and want to do a VO2 Max test, it would be essential for you to have written permission from your primary care physician. The location could still refuse to administer the test if they feel that the risks are too high.
If you're running late for your appointment, make sure to let the location know by calling the location's number which is provided in both your appointment confirmation and reminder emails (after the location address).
Note that while a grace period of 10 minutes is extended, whether a location is able to test someone arriving more than 10 minutes late is subject to circumstances, including the technician's availability and location's operating hours.
To see when you can request your appointment, select the single test option on the page and it will take you to the calendar. We do our best to have the calendar you see reflect current availability, however sometimes our partners have other appointments or unavailable times that are not reflected.
